Stakeholder Review Workflow
Share interactive prototypes for sign-off, collect structured feedback, track decisions, and close the loop — without a single email attachment.
Overview
The review workflow gives stakeholders a frictionless way to interact with your prototype and leave feedback. Designers see all comments and decisions in the builder, triage them per page, and mark reviews closed when sign-off is complete. The Plan panel tracks review status as a completion gate.
Creating a review
Open the Reviews panel
In the builder click the Reviews button in the top bar (speech-bubble icon with badge). The panel slides in from the right.
Fill in the review form
Enter a title (e.g. "Sprint 3 sign-off"), an optional due date, and the assignees — type email addresses or pick from existing team members.
Submit
Click Create review. A unique review link is generated and copied to your clipboard. Assignees receive an email notification with the link.
The reviewer experience
When a stakeholder opens the review link they see the fully interactive prototype in the Review player. They can:
- Navigate between pages using the prototype links
- Click anywhere on the canvas to drop a pin comment at that exact location
- Type their name (or remain anonymous) and their comment text
- Mark their overall decision: Approved, Changes requested, or Needs discussion
Managing feedback in the builder
Back in the builder the Reviews panel shows all open reviews. Each page thumbnail in the Pages list shows a coloured status pill:
Approved
All reviewers have approved this page. The Plan gate ticks automatically.
Changes requested
At least one reviewer wants changes. Comments are pinned on canvas.
Needs discussion
Flagged for a conversation before a decision can be made.
Pending
Review sent but no decisions recorded yet from this reviewer.
Resolving comments
Click a pin on the canvas to read the comment. After addressing it, click Resolve. Resolved comments are hidden from the canvas but remain in the review history. When all comments on a page are resolved and decisions recorded, you can close the review.
Closing a review
In the Reviews panel click Close review. This:
- Marks the review as closed (the link still works for read access)
- Ticks the Stakeholder approved gate in the Plan panel for each approved page
- Sends a notification to all assignees that the review is complete
Content review assignment
The Content finalised gate in the Plan panel is separate from the stakeholder review. Assign a content writer to specific pages by tagging them in a review with the note "content check". When they resolve all copy comments and approve, the content gate ticks.
